How to wow your clients with an event that’s sure to impress

Business parties, charity gatherings, or product launches are all events that allow your business and employee to connect with customers and partners (existent or potential). These are also opportunities to impress your future customers and business partners and showcase your brand as a powerful and reliable one. 

Therefore, the first impression must be positive! 

Of course, you can always hire a specialized event planner to cover all the sensitive aspects when it comes to planning and organization. On the other hand, if the budget is tight or you want 100% control of the decision-making, an in-house team seems to be the better option. If the latter is your choice, here are a few tips to make sure all participants will have a fantastic experience. 

Decide on the Type of Event 

Nowadays, organizers have to decide between in-person events and online ones. Sure, in-person communication is the best and a year and a half into the pandemic people are starved for real human contact. However, online events have a series of benefits that are difficult to ignore (like lower organization costs, flexibility, and being environmentally friendly).

Of course, each type of event comes with its own set of challenges, but it’s important to prioritize the safety and health of your guests. Therefore, the logical option in the current climate is the online event. 

Keep Things Organized

The quality of an event is directly influenced by how organized and detail-oriented the organizers are. Still, unless you are extremely well organized, it’s easy to overlook a wide range of things, especially for large events. 

Therefore, it’s best to use a software tool, like Planning Pod, to manage your event planning process. This type of tool will keep track of the progress and will send out notifications if some of the details or actions get overlooked or ignored. Even more, you can allow access to all the team members and assign them tasks that can be easily monitored.  

Choose a Theme

Whether it’s an online or an in-person event, you need a theme to fit the situation and the trends. 

The theme must be related to the event’s main focus (product launch or fundraising) but it should also be fun and engaging. Use colors, flyers, and other elements at your disposal to decorate the venue or the online platform so people’s minds will automatically resonate with the event’s message. Additionally, you can ask people to dress up theme-appropriate (in both online and in-person scenarios) to make things a bit more fun.

Keep in mind: The right theme will encourage people to engage in conversation and have an overall pleasant experience.  

Personal Touches

Keep in mind that your event is with and for people, so don’t focus only on keeping things organized and under control. Try to add personal touches that can make both guests and organizers feel more comfortable and relaxed. 

Here are a few ideas for in-person events:

  • Flowers that are representative of your brand (if it’s the case)
  • A variety of food options for vegans, vegetarians, and meat-eaters (so everyone feels included)
  • Tea, juice, and coffee options
  • A smoking area

Lastly, make sure everyone feels taken care of and that the atmosphere stays friendly until the end of the event. 

If you are running an online event, you may allow people to choose their own backgrounds (if this is an option on the platform you’re using) or even participate in an audio-only scenario (if they’re not comfortable on camera).

Whether you’re doing a fundraising campaign or organizing a team-building event, corporate events are important for networking and communication. Therefore, make sure to do proper research on event organization before deciding to skip hiring a professional.
